How Aspire Indiana Moved from Manual Tracking to Instant Audit Readiness Across 200+ Job Roles

Aspire Indiana, Inc. is a nonprofit community mental health center and federally qualified health center (FQHC) serving individuals across primary care, behavioral health, addiction services, crisis services, and residential care. As the organization scaled toward 900+ employees with 200+ unique job titles and multiple governing bodies (e.g., Joint Commission, Department of Mental Health and Addiction), it struggled to:

  • Track training completions across roles and regulatory requirements
  • Maintain accountability at supervisory and individual levels
  • Support competency-based learning beyond checkbox compliance
  • Scale auditing and reporting for rapid organizational growth

Aspire needed a system that could grow with it — automating enrollments, tracking competency, and delivering robust reporting to support compliance and workforce development.

Automating audit readiness

Prior to partnering with Relias, Aspire Indiana relied on manual, paper-based means to track employee training. With hundreds of staff members spread across the state, this type of reporting was too labor-intensive and ate into administrators’ ability to do more creative work.

“It’s just not feasible to track 900 people’s training needs manually,” said Kayli Clark, Director of Orientation and Learning Management at Aspire Indiana. “With Relias, I can pull reports instantly. It’s the only way we’re able to keep up with individual training plans that are constantly changing.”

The Relias Platform’s ability to instantly generate training reports has made audit preparation and readiness much easier for Aspire Indiana. Now, Clark and her team can quickly see which staff members have completed compliance trainings, making it easier for the organization to stay audit ready.

“Before Relias, training was manual and a huge workload. Now we run reports instantly. I can’t imagine keeping track of 900 unique staff without it,” Clark said.

Improving compliance and competency

Audit readiness is only part of the compliance equation, however — the team is also tasked with ensuring staff have access to high-quality training that meets the standards of governmental and accrediting bodies.

With Relias’ expansive library of content, developed by experts in their field, Aspire Indiana meets the diverse training needs of its staff. “Other systems can’t handle our complexity,” said Sarah Dross-Gonzalez, Senior Director at Aspire Indiana.

“With Relias, we can manage training for 200 different job titles, each with unique compliance and competency needs. That’s huge.”

Aspire Indiana goes beyond compliance training. The depth and breadth of Relias’ content allow Aspire’s staff to reach new levels of clinical competency as well. “Relias has helped us improve in critical areas like risk and suicide assessment. We’ve made big improvements thanks to better competency tracking — and that’s saving lives,” said Dross-Gonzalez.

Creating a culture of learning

Importantly, Aspire Indiana’s success has not simply been because of the top down assignation of courses. Its staff members see the value in Relias’ body of course content and are more eager to learn. This true culture of learning, where staff are actively asking their administrators for training and exploring the learning platform on their own, has been crucial to Aspire Indiana’s success.

Over the last ten years as a Relias partner, Aspire Indiana’s staff has achieved and maintained 93%+ completion rates for its Relias course work.

“Staff are taking more and more electives every year — it’s wild how hungry they are for content. And they’re finding what they need in the Relias library,” said Clark.
